How to fill in a contractor invoice
- Your business: company name, address, phone, and your license number if your trade or state requires it on invoices.
- Customer: the homeowner or company name, and the job address if it differs from their billing address.
- Labor: one line per job or per day, with hours in Qty and your hourly rate in Rate. Or use Qty 1 and a flat price.
- Materials: one line per item or a single "Materials" line, with quantity and unit price.
- Discount, tax and extras: the discount comes off the subtotal, tax is applied after the discount, and anything in Shipping (use it for delivery or disposal fees) is added after tax.
- Terms: due date, how to pay you, and any deposit already received (mention it in Notes, or enter it in the Discount box so the total shows what is still owed).
Example layout
| Description | Qty | Rate |
|---|---|---|
| Labor: remove and install water heater | 4 | 85.00 |
| 50-gallon gas water heater | 1 | 720.00 |
| Fittings, valves and venting | 1 | 96.40 |
Amounts are worked out to the cent on each line, and tax is rounded once on the total, so the PDF adds up the way an accountant expects.
Invoicing from the job site
The page works on a phone. Your company details and logo are remembered on that device, so each new job is just the customer and the lines. Choose US Letter or A4 paper to match your printer.
Invoice generator FAQ
Should labor and materials be on separate lines?
Usually, yes. Customers find it easier to approve, and in many places materials and labor are taxed differently. Check the rules where you work.
What should a contractor invoice include?
Your business name and license number if you have one (in your details), the customer and job address, the invoice number and date, separate labor and materials lines, tax, the total, the due date and how to pay. Use Notes for a short description of the job.
Can I use it on my phone?
Yes. It runs in the mobile browser and downloads the PDF to your phone, ready to email or text to the customer.
Is this invoice generator really free?
Yes. Create and download as many PDF invoices as you like, with no signup. Each PDF carries a small "Made with SiskinBill" line in the footer.
Is my data uploaded anywhere?
No. Everything happens in your browser, and your draft is stored only in this browser's local storage. Use "Start a new invoice" to clear it. The only things ever sent are cookie-free visit counts (Cloudflare Web Analytics, see Privacy), anonymous counts of which buttons are used (for example, 'a PDF was downloaded'), and an anonymous error report if something breaks (error text, browser, page, app version). Never anything you type or upload. Button counts are skipped if your browser sends Do Not Track or Global Privacy Control.
How is tax calculated?
Tax is applied to the subtotal after the discount. Each line is rounded to the cent, and the tax is rounded once. Shipping is added after tax.
Can I add my logo?
Yes. Upload a PNG or JPG. It is resized in your browser and placed at the top of the PDF.
Which currencies are supported?
USD, EUR, GBP, CAD, AUD, NZD, CHF, JPY, INR and MXN. Where the PDF font has no symbol (for example the rupee sign), the currency code is used instead.
Is this tax or legal advice?
No. Check what your invoices must include where you do business (for example a VAT or GST number).
